Terms of Service

These terms set the ground rules for accounts, statement uploads, analysis, licences, and use of the hosted service.

1. Acceptance

By creating an account, buying a licence, or using Statement Poa, you agree to these Terms and the Privacy Policy. If you use the service for an organisation, you confirm that you have authority to bind that organisation. If you do not agree, do not use the service.

2. The service

Statement Poa accepts supported bank and M-Pesa statement files, extracts transaction information, and produces categories, summaries, comparisons, risk indicators, reports, and exports. Features, supported formats, free allowances, and licence limits may change as the service develops. We may correct, suspend, or retire a feature where reasonably necessary.

3. Accounts and security

Provide accurate registration information, keep your sign-in methods secure, and promptly tell us about suspected unauthorised access. You are responsible for activity performed through your account unless caused by our failure to apply reasonable security controls. Organisation administrators are responsible for assigning appropriate branch, member, and support-access permissions.

4. Your statements and authority

You retain your rights in files and data you upload. You give us limited permission to host, copy, decrypt when instructed, extract, analyse, display, and delete that material only as needed to provide, secure, and support the service. You must have a lawful right to upload each statement and to process every person’s information it contains. Do not upload material where doing so breaches confidentiality, privacy, banking, employment, or other obligations.

5. Analysis is decision support

Automated extraction can be affected by scanned pages, corrupt text layers, unusual layouts, missing rows, OCR errors, and inconsistent source documents. Review results against the original statement before relying on them. Statement Poa does not provide financial, credit, legal, tax, accounting, or investment advice and does not make lending or eligibility decisions for you.

6. Plans, licences, and payment

Free and paid plans may impose statement, seat, branch, device, or time limits shown at purchase or in the application. Prices are displayed before payment. Payment processing is performed by the selected payment provider, and a licence or entitlement is issued after payment is confirmed. Except where law requires otherwise, fees for an activated licence period are not refundable merely because the service was unused. This does not limit mandatory consumer rights.

7. Acceptable use

You must not use Statement Poa to break the law or another person’s rights; access another account without permission; upload malware; probe or bypass security or usage controls; overload the service; reverse engineer protected portions except where law permits; resell access without written agreement; or present automated output as verified source data when you have not checked it.

8. Third-party services

Optional sign-in, anti-abuse, email, payment, hosting, and classification features rely on third-party providers. Their own terms may apply to your direct use of those services. We are not responsible for a third party’s independent service, but we remain responsible for our selection and use of processors as required by applicable law.

9. Suspension and termination

You may stop using the service and may request account deletion in Settings. We may restrict or suspend access to protect users or the service, investigate misuse, comply with law, or address a material breach. Where practical, we will provide notice and a chance to remedy the issue. Data deletion and legally required retention are described in the Privacy Policy.

10. Availability, warranties, and liability

We aim to keep Statement Poa available and accurate, but do not promise uninterrupted operation or error-free extraction. To the extent permitted by law, the service is provided as available and implied warranties are limited to those that cannot lawfully be excluded. Neither party excludes liability that law does not allow it to exclude. For other claims, each party is responsible only for losses that were reasonably foreseeable and directly caused by its breach; you remain responsible for independently reviewing financial decisions and source documents.

11. Changes, disputes, and contact

We may update these Terms to reflect service, security, or legal changes. Material changes will be identified by a new effective date and may be communicated in the application or by email. Applicable mandatory law and the courts or dispute processes with lawful jurisdiction continue to apply; these Terms do not remove rights that cannot be waived.
